What is a rent roll?
A rent roll lists every lease in a property or portfolio with its key terms — tenant, area, rent, escalations, expiry, deposit and dues. Owners, lenders, buyers and auditors all ask for one. This template gives you a clean structure to start with.
How to use the template
- Replace the sample rows with your leases — one row per lease.
- Keep dates as dates (DD-MM-YYYY), so days to expiry and the next escalation calculate correctly.
- Check the Summary sheet for the portfolio totals; it updates as you edit.
When a spreadsheet stops being enough
A spreadsheet rent roll has to be updated by hand every month — escalations, new leases, payments received. With more than a handful of leases it drifts out of date. LeaseHub360's Lease Tracker builds the rent roll from the leases themselves, so it is always current, and exports it to CSV in one click.
Frequently asked questions
What columns should a rent roll have?
At minimum: property and unit, tenant, area, lease start and expiry, current rent, rent per sq ft, escalation terms, security deposit and outstanding dues. This template adds lock-in end, CAM, next escalation date and days to expiry.
Does the template work in Google Sheets?
Yes — upload it to Google Drive and open it with Google Sheets; the formulas work the same way.
How is days to expiry calculated?
Expiry date minus today's date, recalculated whenever the file is opened.
