Why lease data entry goes wrong
Setting up a commercial lease in any system means reading a 20–60 page deed and typing its terms in by hand: the parties, rent commencement after the fit-out, the escalation clause, the lock-in, the notice period, the deposit. It is slow, and it is where mistakes creep in — a wrong rent start date or a missed escalation goes on to affect every invoice and report that follows.
Fully automatic extraction is not the answer either: scanned deeds, unusual clause wording and rent tables mean some values will always need a human eye. LeaseHub360 does the reading and leaves the judgement to your team.
How it works
- Upload the lease PDF. Optionally pick the brand and property. Scanned deeds work too; progress is shown while it reads.
- Review side by side. The PDF on one side, the extracted fields on the other. Click a field to jump to its page and see the source sentence. Mark it right, correct it, or add what the deed doesn't state.
- Check the rent schedule. The rent for every period is calculated from the escalation as you edit — or work out the escalation % from two rents in the deed.
- Preview, then create. See exactly what will be created — periods, key dates, notice deadlines, deposit and charges — with any problems flagged. The lease is created as a draft and goes through maker–checker approval.
What is read from the deed
| Group | Fields |
|---|---|
| Parties | Landlord(s) and tenant(s) with ownership shares, PAN, address; signatories shown separately |
| Property | Address, unit, chargeable area — matched to your properties, or added in one step |
| Term & dates | Commencement, fit-out / rent-free period, rent commencement, expiry, lease term, lock-in, notice period |
| Rent & charges | Monthly rent, escalation, rent due day, CAM / maintenance |
| Deposit | Security deposit |
| For reference | Agreement date, permitted use, registration, stamp duty, jurisdiction |
Built for accuracy, not just speed
- Nothing is saved unchecked by accident — fields nobody reviewed are listed in the preview before you create the lease.
- Problems block creation — a property that is already leased, shares that don't add up to 100%, or dates that don't fit.
- Your documents stay yours — read on LeaseHub360's own servers, stored privately, attached to the lease.
- Available as an add-on with a monthly PDF allowance for your plan.
Frequently asked questions
What does lease PDF extraction read from the deed?
The landlord(s) and tenant(s) with PAN and address, the property and area, commencement, rent start and expiry dates, lease term, lock-in, notice period, monthly rent, escalation, rent due day, CAM and the security deposit. Stamp duty, registration and similar details are shown for reference.
Is the data saved without anyone checking it?
No. Every field is shown next to the page and sentence it came from. You mark it right or correct it, see a preview of the lease with its full rent schedule, and only then create it — as a draft that still goes through your maker–checker approval.
Does it work with scanned lease deeds?
Yes. Scanned deeds and registered bundles can be read too. English is read by default; Marathi and Hindi pages can be read as well.
What if the deed lists rents per period instead of an escalation %?
Enter the starting rent and the next period's rent and LeaseHub360 works out the escalation %. The full rent schedule is shown as you type, so you can compare it row by row with the deed.
Can it handle several landlords or co-tenants?
Yes. Each owner or tenant is listed with a share; you can add, remove or re-split them. New landlords and occupiers are created with the PAN and address from the deed.
Is my lease document sent to an outside service?
No. Documents are read by LeaseHub360's own extraction service on our servers — they aren't sent to any third-party service. Uploaded PDFs are stored privately and attached to the lease as the agreement.
